Position Overview: The Division of Plastic & Reconstructive Surgery is seeking an experienced Program Coordinator (Administrative Associate 3) to offer advanced scheduling, educational, and administrative support in a dynamic academic and clinical environment within the School of Medicine. This role requires a self-starter who can operate independently with minimal supervision.
Key Responsibilities:
- Represent the supervisor or department manager in establishing priorities and resolving administrative issues.
- Perform complex scheduling tasks for Stanford and affiliated sites, and provide analytical support to inform clinical and administrative decisions.
- Organize and manage conferences, seminars, and events, including vendor coordination, material preparation, logistics, and budget management.
- Draft, edit, and fact-check documents and correspondence for various purposes, including presentations, grants, and reports.
- Maintain and update unit documents, displays, reports, brochures, social media, and websites with accurate content.
- Schedule and coordinate calendars, resolve conflicts, and arrange travel in accordance with unit and university policies.
- Oversee or process various financial transactions and reimbursements.
- Supervise or direct the work of student and temporary staff, including scheduling, task assignment, workload management, and performance reviews.
- Perform additional duties as assigned.
Required Qualifications:
- High school diploma with four years of relevant administrative experience, or a combination of education and experience.
- Advanced proficiency with Microsoft Office (PowerPoint, Word, Excel) and email applications.
- Proven ability to complete projects successfully, with strong organizational skills and attention to detail.
- Excellent verbal and written communication skills, and exceptional customer service and interpersonal abilities.
- Ability to prioritize, multitask, and delegate tasks effectively.
- Initiative and independence in managing projects and exercising sound judgment.
- Familiarity with online grant submission platforms.
Desired Qualifications:
- Experience in healthcare or graduate medical education.
- Experience with complex scheduling.
- College degree and prior experience at Stanford University or in higher education preferred.
- Understanding of Stanford University Medical Center or similar academic medical centers.
- Ability to independently draft correspondence on behalf of department leadership.
Physical Requirements:
- Constant desk-based computer tasks.
- Frequent sitting; occasional standing, walking, reaching, grasping, and lifting up to 10 pounds.
- Rare bending, kneeling, or crawling.
Work Standards:
- Demonstrate strong interpersonal skills and ability to collaborate effectively with colleagues and external organizations.
- Promote a culture of safety and adherence to University policies and procedures.
Compensation:
- The expected pay range for this position is $33.17 to $43.75 per hour, depending on factors such as scope, responsibilities, qualifications, and budget availability. Detailed benefits information is available on the Cardinal at Work website.
