Job Summary
As the Executive Assistant at Park Hyatt Hangzhou, you will support the General Manager by managing administrative tasks, establishing relationships with key stakeholders such as government officials, VIPs, and the owning company, and ensuring smooth hotel operations. You will be responsible for handling confidential matters, organizing events, and providing administrative support across various functions of the hotel.
Key Responsibilities:
- Build and maintain strong relationships with Government Officials, VIPs, and the Owning Company, acting as the liaison on hotel-related matters on behalf of the General Manager.
- Review scheduled functions, VIP arrivals, and events, discussing special instructions with relevant departments.
- Ensure compliance with government rules and hotel procedures during daily operations.
- Welcome and greet important government officials, VIPs, and owning company representatives when visiting or attending functions at the hotel.
- Provide comprehensive administrative support to the General Manager, ensuring adherence to hotel policies, standards, and procedures.
- Handle incoming emails, attaching relevant files for the General Manager’s review.
- Maintain confidentiality in managing sensitive documents and correspondence for the Executive Office.
- Establish and maintain an organized filing system for both hard and electronic documents to ensure quick retrieval of information.
- Prepare materials for meetings attended by the General Manager, including Daily Operations Meetings, Executive Committee Meetings, and other ad hoc meetings.
- Maintain the General Manager’s activity diary, ensuring important appointments and events are tracked and reminders are provided.
- Assist in developing and maintaining the Department Operations Manual, reflecting policies, procedures, and performance standards.
- Ensure timely submission of reports required by the management and local authorities.
- Answer telephone inquiries, providing information or routing calls to the appropriate person, and placing outgoing calls when necessary.
- Maintain and update contact lists for corporate and government stakeholders.
- Welcome visitors, determine the nature of their business, and guide them to the appropriate individual.
Qualifications & Skills:
- Previous experience in an Executive Assistant or similar administrative role.
- Excellent organizational and communication skills.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Strong attention to detail, confidentiality, and the ability to manage multiple tasks simultaneously.
- Fluency in both English and Mandarin.
- Strong interpersonal skills, with the ability to interact effectively with government officials, VIPs, and high-level executives.
