About the Role

The University of Luxembourg has established a new Office of Professorial Affairs to enhance its capability to identify, attract, and retain top academic talent. The office aims to build a strategic framework for managing professorial appointments and evaluations, ensuring the continued success and reputation of the university. To support this initiative, we are hiring a Professorial Appointments Specialist.

Your Role

As a Professorial Appointments Specialist, you will play a key role in developing and implementing a robust procedural framework for professorial appointments. Reporting to the Team Leader of the Office of Professorial Affairs, your responsibilities will include:

  • Collaborating with HR and faculty leadership to establish regular reporting and dashboarding for real-time monitoring of professorial appointment and evaluation activities.
  • Supporting the Team Leader in enhancing interfaces with various services involved in academic recruitment, including HR, finance, and infrastructure.
  • Contributing to the drafting and review of key policies and procedures, ensuring updates of relevant tools, guidelines, and templates.
  • Managing multi-stakeholder projects related to process design and system implementation in academic recruitment and appointments.
  • Advising faculty and centre leadership on procedural matters related to professorial recruitment and appointments.
  • Ensuring compliance with key procedural steps for which the rector is responsible and advising on relevant processes.
  • Drafting and delivering information materials and targeted sessions for management, employees, and external parties.

Your Profile

  • Master's degree or equivalent by work experience; a PhD is a strong asset.
  • Significant experience in an academic setting, with expertise in academic planning, institutional governance, or HR.
  • Fluency in English and French; knowledge of German and/or Luxembourgish is a plus.
  • Exceptional organizational skills, with the ability to communicate effectively with diverse audiences.
  • Strong project management capabilities, analytical skills, and attention to detail.
  • Experience in process design and development of fit-for-purpose tools.
  • A team player who thrives in an international, multidisciplinary, and multicultural environment.
